Short answer: an accurate RFQ describes the market and buying decision, not just motor power and price. Include destination, intended use, buyer channel, quantity, target timing, product class, must-have specifications, customization, documents, inspection and delivery terms.

Start with business context

State destination country, sales channel, target rider, intended terrain, retail position, service capability and expected launch. This helps the supplier avoid recommending a technically possible but commercially unsuitable model.

Separate requirements from preferences

List must-have items, acceptable ranges and optional features. Define how motor rating, assisted speed, battery, brakes, wheels, lights and accessories should be quoted. Ask the supplier to identify every deviation.

Define the commercial scenario

Provide sample quantity, first production estimate, expected annual volume if known, desired Incoterm and destination. Ask for validity period, payment milestones, tooling or artwork charges, carton dimensions and gross weight.

Request evidence and control points

List the model-specific documents required for review, the sample approval process, inspection expectations, substitution rules, packing requirements and spare-parts request. Avoid asking for a generic “full certificates” package.

Use a comparable quotation table

Require model name, revision, configuration, unit price, MOQ, lead time, included accessories, document status and open questions in one table. A clear “not available” is more useful than an ambiguous yes.
