Electric Bike Sample Orders: What to Approve Before Mass Production

Short answer: a sample is valuable only when it represents a defined production configuration. Approve the complete BOM, electrical system, function, appearance, artwork, packing, document scope and open deviations in writing before mass production.

Confirm sample status before it ships

Ask whether the unit is a stock sample, engineering sample, pre-production sample or production reference. Record any substituted components and whether the final order will differ. A visually similar sample is not enough when the motor, controller, battery or charger changes.

Inspect the complete bicycle

Check serial and model identification, frame and fork finish, fasteners, wheels, brakes, drivetrain, controls, lights, wiring, battery locking and charger compatibility. Ride testing should reflect intended use and include braking, assist behavior, noise and fault checks.

Review branding and packaging

Approve logo position, color reference, warning labels, manuals, carton marks and protective materials. Measure carton dimensions and gross weight. Confirm that loose accessories and keys are controlled and that the unpacking process does not damage the bicycle.

Create an approval record

Use photos, a dated specification, issue list and sign-off status. Classify each item as accepted, corrected before production or subject to a new sample. The approved reference should be available to production and final inspection.

Keep documents model-specific

Request current files for the exact configuration and destination. A document with a different model name, battery or electrical combination needs clarification; it should not be treated as automatic evidence for the sample.
